Administrative Assistant

The Coles County Public Defender’s Office is seeking a motivated and detail-oriented Part-Time Administrative Assistant to join our team. This position plays a vital role in supporting attorneys and ensuring the smooth operation of the office.

Location: Charleston, Illinois
Hours: 15–20 hours per week, flexible scheduling available
Starting Pay: $16.00 per hour
Benefits: No benefits offered with this part-time position

Key Responsibilities:
- Answer and direct incoming calls, or take messages with caller’s name and call-back number.
- Schedule client appointments (phone or office) with appropriate attorneys.
- Open and close case files as directed; maintain an electronic client database and track case statuses.
- Draft basic pleadings and documents as directed (e.g., Entry of Appearance, Motion for Discovery, Answer to Discovery).
- Schedule evaluations with mental health professionals for clients with pending motions regarding fitness.
- Greet and assist clients upon arrival at the office.
- Maintain filing system, including pulling case files for court as requested.
- Assist attorneys with calendar management, including court dates and other appointments.
- Prepare correspondence and other documents as directed.
- Maintain closed-file database and prepare files for shredding.
- Perform other duties as assigned to support office operations.

Minimum Qualifications:
- High school diploma or equivalent.
- Strong organizational and communication skills.
- Ability to maintain confidentiality and professionalism in all matters.
- Basic computer proficiency, including word processing and database management.
- Attention to detail and ability to manage multiple tasks.

Preferred Qualifications:
- Prior clerical, legal, or administrative experience in a law office or court setting.
- Familiarity with legal terminology and document preparation.
